Your tasks

Uniper Benelux is looking for a Management Assistant (Personal Assistant/Executive Secretary) to the Managing Director / Country Chair in the Netherlands!

As Management Assistant (or Personal Assistant/Executive Secretary) to the Managing Director/ Country Chair you are responsible for supporting the priorities and directly contributing to the team's effectiveness to lead Uniper Benelux in challenging times. Your personal commitment and organizational talent will increase the efficiency of business administration processes with the aim to create space for content creation, communication and performance management.

Summary

  • Planning, organization and documentation of internal and external business appointments as well as telephone and video conferences, including preparation and follow-up;
  • Calendar management for the Managing Director;
  • Preparation of Management Board Meetings and Supervisory Board meetings;
  • Supporting governance processes;
  • Communication management in Dutch and English, especially processing incoming and outgoing e-mails, letters, telephone calls as well as internal communication;
  • International travel management, including planning and execution of bookings and travel expense reports;
  • Administrative activities and office management, including the execution of ordering and billing processes (office equipment, , IT equipment, , etc.);
  • Supporting the Managing Director with content-related tasks such as the creation of presentations, intranet posts, manuscripts,
  • Assists in the planning and execution of corporate events, such as conferences, workshops and team building activities, including registration and logistics support.
  • Support to staff functions to the extend possible
  • Close cooperation with other personal and team assistants, including mutual representation

Your profile

  • Completed vocational training or Bachelor degree (or comparable experience as a personal assistant, office manager or management assistant), further specialist training is an advantage
  • Independent working attitude with high solution orientation,
  • Excellent project management and organizational skills, combined with a high degree of customer orientation, and situational pragmatism
  • Several years (five or more years) proven experience in office management and assistant function at senior management level or comparable industry experience
  • Accurate and stress-resistant
  • Excellent communication and interpersonal skills (both in Dutch and in English)
  • Fluent in English and Dutch
